How to customize the email notifications wxrks sends

wxrks emails your linguists (Vendors), Project Managers, and Clients when something happens in a task, project, invoice, or account. In Email templates, you can change what each of these emails says and how it looks: its subject, heading, message, footer, button text, and the size and position of your logo, with a live preview of the final email.

Before you start

  • Role: Account Admin. Project Managers, Clients, and Vendors cannot open this page. See All about wxrks roles.

  • Logo: every email shows your account logo at the top. Without one, it shows the wxrks logo. To add or change it, go to Settings > Account > Branding & Domains and use Account name & logo.

  • Who gets each email is set per Organizational Unit (a subdivision of your account, such as a team, brand, or end client) on the Recipients tab of the same page. This article covers the wording and look of the emails, not who receives them.

How the email layout works

Every email wxrks sends goes out in the same layout, whether you customized its template or not:

  1. Your logo, in the size and alignment you choose.

  2. A heading in large type.

  3. The message.

  4. A button to the place the email is about (for example, the task in the Editor or the project), for the emails that have one.

  5. The footer.

Each template starts with the wxrks default text. A template you never edit keeps sending the default. A template you save is marked Custom and sends your version.

Open a template

  1. Go to Settings > Automation > Notifications.

  2. Open the Email templates tab. The first template of the list opens automatically.

  3. In the list on the left, pick the email you want to change. Templates are grouped by who receives them: Linguist tasks, Projects and managers, Finance, and Account access. Use Search templates to find one by name.

Notifications page in Settings. Red box 1 marks Notifications under Automation in the settings menu, red box 2 marks the Email templates tab, and red box 3 marks Task assigned and ready, selected in the template list, with its editor open on the right.

The description under the template name tells you when wxrks sends it.

💡 Tip: on the Recipients tab, the What each switch sends cards list every email by recipient. Click an email there to open its template directly.

ℹ️ Note: some templates show only when the related feature is on for your account. For example, the Work Package templates need Work Packages, and Due date reminder needs task reminders. See Configuring Task Reminders and Task Update Notifications.

Set the sender address (optional)

In Sender, enter the From address your emails come from, for example [email protected], and click Save. It applies to every email of the account. Leave it empty to send from the wxrks default address.

Field

Required

What it is

Limit

Subject

Yes

The email subject line. Plain text.

200 characters

Heading

No

The large title at the top of the email. Plain text.

120 characters

Message

Yes

The main text of the email. Line breaks are kept, and basic HTML such as bold and links is allowed.

20,000 characters

Footer

No

Text at the bottom of the email. Left empty, the email goes without a footer.

2,000 characters

Button text

No

The label of the email's main button. Shows only for templates that have a button.

40 characters

Heading and Button text start empty, with the default shown in gray inside the field. While a field stays empty, the default is what goes out. Type your own text only if you want to replace it.

Example. In Task assigned and ready, the Heading field shows A task is ready for you in gray, and Button text shows Open in the editor. If you leave both empty and only rewrite the Message, the email still has that heading and that button.

ℹ️ Note: when you save, wxrks removes from Message and Footer anything that is not safe in an email, such as scripts and javascript: links. Text, links, lists, tables, images, and inline styles stay. Any HTML you type in Subject, Heading, or Button text is removed, since these fields are plain text.

Editor of the Task assigned and ready template. Red boxes mark the Heading field, filled with New work for and a project name variable; the Button text field, empty with its default Open in the editor shown in gray; and the Logo size and Logo alignment options, set to Large and Center.

Insert variables

A variable is a placeholder in capital letters, such as the project name or the linguist's name, that wxrks replaces with the real value when it sends the email. The variables of each template are listed under Variables.

  1. Click inside the field where you want the value: Subject, Heading, Message, Footer, or Button text.

  2. Under Variables, click a variable. It is inserted at the cursor.

Hover over a variable to see a sample of the value it produces. Each template lists only the variables available for that email: the rejection reason, for example, shows only in templates about a rejection.

Set the logo size and alignment

  • Logo size: Small, Medium, or Large. The default is Medium.

  • Logo alignment: Left, Center, or Right. The default is Left.

These options apply to the template you are editing, so two emails can show the logo differently.

Check the preview

The Preview next to the editor (below it on narrower screens) shows the email as it will be sent, with your logo and sample data instead of the variables. It updates as you type.

  • From, To, and Subject above the email show the sender address, a sample recipient, and the subject.

  • Highlight variables marks every value that came from a variable with a dashed box, so you can check where each one lands. Turn it off to see the email as the recipient will.

  • Use the zoom buttons to zoom out or in. Click the percentage to go back to 100%.

Links in the preview do not open.

Preview of the Task assigned and ready email. A red box marks the Highlight variables switch, turned on. Below it are the From, To, and Subject lines, then the email with a large centered logo, the heading New work for Website refresh, and the message, where every value that came from a variable has a dashed box.

Save, discard, or restore

  • Save sends your version from now on. The template is marked Custom in the list.

  • Discard changes goes back to the last saved version of the template.

  • Restore default shows only on Custom templates. It deletes your version and goes back to the wxrks default text. wxrks asks you to confirm first.

⚠️ Warning: Restore default cannot be undone. Copy your text somewhere else first if you might want it back.

While you have unsaved changes, an Unsaved changes badge shows next to the template name. If you pick another template, wxrks asks whether to discard them.

Important behavior

  • Templates you saved before keep their subject, message, and footer. Their heading and button use the defaults until you fill in Heading and Button text.

  • First step of a workflow: when a task is the first step of its workflow, the linguist gets Task assigned and ready. Task ready to start goes out when an earlier step is delivered. If you customized Task ready to start, customize Task assigned and ready too, so both read the way you want.

  • Emails you cannot edit: the sign-in emails (the login link and the login code) and the emails wxrks sends when your wxrks account becomes active or expires use the same layout, but they are not listed in Email templates.

Troubleshooting

Issue

What to check

Save is disabled

Nothing changed since the last save. Edit a field first.

"Required" shows under a field

Subject and Message cannot be empty.

A template is missing from the list

The feature that sends it is off for your account, or it is one of the emails you cannot edit (see above).

The email shows the wxrks logo instead of yours

Your account has no logo. Add one in Settings > Account > Branding & Domains.

A variable shows as text in the sent email

Check the spelling. A variable is replaced only when it is written exactly as listed under Variables for that template. Insert it by clicking it to avoid typos.
