Configuring Task Reminders and Task Update Notifications
A vendor with a task due on Friday shouldn't need a project manager chasing them on Thursday. wxrks can email the assignee automatically as a task's due date approaches, and again whenever that task's instructions or status change while it's still theirs. A project manager can also send a reminder by hand at any moment, straight from the task.
This article covers all three notifications: switching them on, deciding how early the automatic reminder fires, rewording the emails, and sending one manually.

ℹ️ Note: An Organizational Unit is the client-level container a project belongs to; every project in wxrks sits under exactly one. It matters here because every one of these emails is resolved per Organizational Unit, not per project.
ℹ️ Note: Task reminders are released account by account. If Enable Task Reminder Notifications and the Send Reminder action don't appear anywhere in your account, the feature hasn't been switched on for it yet — contact wxrks support.

The Three Emails, and What Controls Each
All three go to the task's current assignee — never to the project manager, the client, or a previous assignee.

⚠️ Warning: The two update emails are not governed by Enable Task Reminder Notifications. Turning that switch off stops reminders and nothing else — instructions and status emails keep going out as long as vendor emails are allowed for the Organizational Unit. If you need a unit to go quiet entirely, turn off Send Notification Emails To Vendors (Step 3).
Step 1: Turn On Task Reminders for the Account
The account-level switch is the baseline every Organizational Unit inherits.
Go to Settings > Account Settings > Usage.
Under Account Settings, find Enable Task Reminder Notifications and turn the switch on.
wxrks asks you to confirm: "Updating this setting at the Account level will also update all Organizational Units in this Account. Do you want to continue?" Click Yes to apply.
⚠️ Warning: Saving the account switch writes the same value into every Organizational Unit in the account, overwriting whatever each unit had before. If you had already tuned individual units, that work is lost. Set the account switch first, then adjust individual units (Step 2).
Step 2: Adjust the Setting for a Single Organizational Unit
Use this when one client wants reminders and the rest of the account doesn't, or the other way round.
Go to Organizations > Organizational Units and open the unit.
Open its Notifications tab, which holds the unit's Notification Settings.
Turn Enable Task Reminder Notifications on or off. The change saves as soon as you flip it — wxrks confirms with Organizational Unit saved successfully.
ℹ️ Note: The unit's own value wins. wxrks reads the Organizational Unit's switch first and only falls back to the account's switch if the unit has no value stored — the two are not combined, so a unit switched on still sends reminders even if the account switch was later turned off. Because Step 1 stamps a value onto every unit, that fallback normally applies only to units created before the account switch was ever touched.
Step 3: Confirm Vendor Emails Are Allowed
This is the master switch for everything wxrks emails a vendor about their tasks. If it's off, none of the three emails leave the building, however the reminder switches are set.
On the same Notifications tab, find Send Notification Emails To Vendors.
Turn it on.
Step 4: Choose How Early the Automatic Reminder Fires
The Reminder Threshold (%) is a percentage of the task's own lifespan — the window between the moment it was assigned and the moment it's due — not a fixed number of hours before the deadline. The default is 75%.
Go to Settings > Automation Settings > Auto Task Placement.
Open the Due Date Settings tab. The fields on it hold your account's values; to configure one unit instead, pick it under Organizational Unit at the bottom of the tab.
Under Task Due Date, drag the Reminder Threshold (%) slider. It accepts 1 to 99, and the current value shows to its right.
Click Save.
ℹ️ Note: wxrks resolves the value in this order: the Organizational Unit's setting, then the account's, then the system default of 75%. Leave a level blank — or use Clear settings — to inherit from the one above it. The Default System Settings and Account Settings buttons at the top of the tab show you which defaults are currently in force.
Worked example: why 75% means different things on different tasks
Because the threshold is a proportion, the same number gives a generous warning on a long task and almost none on a short one.

💡 Tip: If your Organizational Unit runs mostly short, same-day work, 75% leaves the vendor almost no room to react. Lower the threshold for that unit — 50% on the rush job above moves the reminder to 13:00, four hours out. Conversely, on long projects a high threshold prevents a reminder landing so early it gets forgotten.
Step 5: Customize the Email Templates
wxrks sends usable default emails, so this step is optional — do it when you want your own wording, subject line, or branding.
Go to Settings > Account Settings > Notifications and open the Notification Template tab.
Fill in From Email with your sending address (for example,
[email protected]). The Templates selector stays disabled until this field has a value.From Templates, pick Task Reminder, Task Instructions Updated, or Task Status Changed.
Edit Email Title, Email Body Message, and Email Footer Message. All three accept HTML. Click the info icon beside the template name to see which placeholders that template accepts.
Click Save.
ℹ️ Note: The grey text in the three editors is wxrks's own default wording, shown as a hint rather than as content. A field you leave empty keeps that default, so you can override just the subject line and leave the body alone.
Placeholders are written in plain uppercase, with no braces or percent signs, and wxrks swaps each one for the real value as it sends:

💡 Tip: Keep TASK_ON_EDITOR_LINK in the body. It opens the Editor on that one task, which is the difference between a vendor acting on the reminder immediately and hunting through their dashboard for the right file.
Step 6: Send a Reminder Manually
A manual reminder skips the wait and emails the assignee at once. The task must be Assigned and have an assignee, and you need the Task Update permission.
On a task's own page, click Send Reminder in the title bar.
From a project's Tasks tab you have two more routes:
Open a task row's ⋮ menu and choose Send Reminder.
Tick one or more tasks and click Send Reminder in the toolbar above the list to message every selected task's assignee at once. The badge beside it counts the tasks you've selected, and the action stays greyed out until at least one is ticked.
wxrks confirms with Reminder sent successfully. On a bulk send, tasks that aren't eligible — wrong status, no assignee, reminders off for their unit — are skipped, and the rest still go out.
⚠️ Warning: A manual reminder uses up the task's automatic one. Each task gets one reminder in total, whoever or whatever triggers it, so a task you remind by hand on Tuesday will not produce an automatic reminder on Thursday. See the next section for the one thing that resets it.
Important Behavior and Edge Cases
One automatic reminder per task. Once a reminder has gone out — automatically or manually — wxrks won't send another for that task. Changing the task's due date clears the record and makes the task eligible again, which is exactly what you want when a deadline moves.
An overdue task never gets an automatic reminder. The scan only considers tasks whose due date is still in the future. If a task has already blown its deadline, use Send Reminder manually — that path has no such restriction.
Reminders arrive on a 20-minute cycle. wxrks scans for due tasks every 20 minutes, so an automatic reminder goes out at the first scan after the threshold is crossed, not the instant it happens. Manual reminders are queued immediately.
A task with no due date, or one due before it was assigned, is never a candidate. The threshold is a proportion of the window between assignment and due date; with no window there is nothing to take a percentage of.
Instructions emails need the task to still be Assigned. Editing the instructions of a Pending, Delivered, or Cancelled task changes the text but sends nothing.
Three status changes deliberately stay silent: moving a task to Pending Acceptance, to Invoiced, or to Not Invoiced. The first is already covered by its own offer email — see Requiring Vendors to Accept or Reject Assigned Tasks — and the last two are billing outcomes the vendor doesn't need an email about.
Deactivated assignees are dropped, not queued. If the assignee's user account is deactivated before a pending notification is sent, wxrks discards it rather than delivering it later.
Reassigning moves the emails with the task. All three notifications target whoever holds the task at the moment of sending, so a reminder queued for one vendor is discarded if the task has since moved to another.
Troubleshooting
