All about wxrks roles

This article explains the roles available in wxrks, the permissions each role receives automatically, and how Account-Admins can fine-tune access for individual users. For each permission you will find both a short description and an In practice note that explains exactly what changes in the UI when the permission is on or off.

Who is this article for? Account-Admins and anyone who needs to understand what each role can do in the platform. Only Account-Admins can manage other users' permissions.

Roles and permissions overview

The localization workflow involves several agents, each with distinct responsibilities. wxrks reflects this by offering four roles:

When a user is assigned a role, they automatically receive a set of Inherited Permissions — the abilities required for their designated tasks. Inherited permissions appear locked on the user's Permissions tab and, in general, cannot be turned off. You can always add extra permissions on top of a role.

Exception — inherited permissions that Account-Admins can disable. Account-Admins can turn off the following inherited permissions for individual users:

  • User TMS Access

  • Organizational Unit Add Contact / Remove Contact

  • Add Translation Memory / Remove Translation Memory / Edit Translation Memory Settings (Organizational Unit)

  • Add Glossary / Remove Glossary / Edit Glossary Settings (Organizational Unit)

All other inherited permissions remain locked. Re-enabling the toggle restores the inherited permission.

A note on multiple roles. While wxrks allows assigning multiple roles to the same user, this can lead to conflicting permissions, unexpected access limitations, or overlapping restrictions. We strongly recommend assigning only one primary role per user whenever possible, ensuring clear permission boundaries and predictable behavior across the platform.

Managing a user's permissions

  1. Go to Users and open the user you want to manage.

  2. Open the Permissions tab.

  3. Expand a section (Account, Editor, Project, etc.) and use the toggles to grant or revoke individual permissions.

Permissions can also reach a user indirectly:

  • Permission Groups — users added to a group receive all of the group's permissions. Groups a user belongs to are listed on their Permissions tab, where Account-Admins can also remove the user from a group.

  • Organizations and Organizational Units — permissions granted at these levels apply to all users associated with them.

The roles

Account-Admin

The Account-Admin, typically the account owner, plays a pivotal role in overseeing the entire team and having comprehensive access to all aspects of the account. This includes responsibilities such as managing user access, configuring settings, and maintaining account integrity. They are expected to take a holistic approach to account management and ensure the smooth operation of the account.

Project Manager

Project managers in the localization industry hold a multifaceted role in project oversight. They act as the central coordinators, guaranteeing that all project aspects align with client expectations and deadlines, facilitating seamless communication, and optimizing the allocation of resources for effective project execution.

Client

Clients, often referred to as project requesters, serve as the driving force behind the entire localization process, as they initiate and define the scope of translation projects. They play a fundamental role in conveying their specific needs, expectations, and requirements, ensuring that the localized content aligns perfectly with their intended audience and objectives.

Vendor

Linguists are the cornerstone of the localization industry, serving as the core contributors to the translation process. Their key responsibilities encompass both the creation and meticulous review of translated content. They play a vital role in ensuring linguistic accuracy, cultural relevance, and contextual precision in the content being localized, thereby upholding the quality and integrity of the translation work.

Permissions

Permissions are organized into the sections below, matching the Permissions tab in the platform. Each table shows which roles inherit the permission automatically. A "No" means the role does not inherit it — but an Account-Admin can still grant it individually (unless noted otherwise).

Roles: AA = Account-Admin, PM = Project Manager, CL = Client, VE = Vendor.

In practice:

  • Account Retrieve — Required to access Account settings pages. Without it, account configuration sections are unavailable.

  • Add Account Seat / Remove Account Seat — Control the ability to increase or decrease the number of billable seats on the account. Adding a seat may trigger billing charges. These actions appear in the Account settings area and are exclusive to Account-Admins.

  • Account Update Users — Controls the ability to associate or remove users from the account, separate from managing seats.

In practice:

  • Payables List — Controls whether the Payables item appears in the main navigation menu and whether task budget columns are visible in the task list. Vendors with this permission can see their own pending payables. Without it, the Payables menu and all budget columns are hidden.

  • Payables Summary — On the Payables page, shows a summary card with payable totals grouped by payout mechanism and currency. Without it, the summary card is not displayed.

  • Payables Approval — Shows an Approve button on eligible payables. An Account-Admin can approve payables generated from completed tasks before they are processed for payment.

  • Payable mark as paid and make payment — Shows the Pay and Mark as Paid action buttons on the Payables list. Without it, no payment actions are available even if the user can see the list.

  • Payables Run Payout — Enables the Payout action that triggers the payment processing flow within the platform (e.g., sending payments via configured payment methods). Without it, the Payout button is not accessible.

  • Payables Manual Creation — Allows creating payable records manually (outside of task-based automatic payable generation). Used when payment amounts need to be entered directly.

  • Cancel Payable — Shows a Cancel option in the payable actions dropdown. Without it, payables can be viewed and approved but not cancelled.

  • Payables Update — Allows editing payable attributes such as status, amount, and currency after creation.

  • Import Payables from File — Shows an Import section on the Payables page with controls to upload an Excel file containing multiple payable records. Without it, the import section is hidden.

  • Payables for a Vendor — Allows retrieving the list of payables associated with a specific vendor. Used for vendor-facing financial reporting.

  • Create Receivables / List Receivables / Update Receivables / Delete Receivables — Control the Invoices section (Receivables). List Receivables also controls whether the Invoices item appears in the main navigation. Without it, the Invoices menu is hidden.

In practice:

  • List Connectors — Controls whether the Connectors item appears in the main navigation and whether the user can access the Connectors page. Without it, the entire Connectors section is not visible.

  • List Connector Config — On the Connectors page, allows viewing the list of existing connector configurations. Without it, configurations cannot be listed.

  • Create Connector Config — Shows the button to create a new connector configuration. Without it, existing configurations can be viewed but no new ones can be added.

  • Sync Connectors — On a connector's detail page, shows the Sync button that pulls new content entries and creates wxrks projects based on the connector configuration. Without it, the Sync action is unavailable.

  • List Entries of Connector Projects — Shows the list of content entries that a connector has bound to wxrks projects. Without it, connector entries cannot be browsed.

  • Deliver Connector Projects — Shows the Deliver button to push completed translations back to the connector's target system (CMS, source tool, etc.). Without it, deliveries must be handled outside the platform.

In practice:

  • Open Editor — The fundamental gate to the translation interface. Without it, clicking on a task does not open the Editor. Every user who needs to translate or review content must have this permission.

  • Auto-translation — Shows the Auto-translation button in the Editor header. Clicking it runs machine translation on empty or unconfirmed segments. Without it, the button is not displayed and auto-translation cannot be triggered from inside the Editor.

  • Confirm All Segments (In Editor) — Adds a Confirm All button in the Editor header. Without it, the user must confirm segments one by one using the individual confirm action per segment. Note: this is different from the Task permission "Confirm All Segments (Outside Editor)", which works from the task list without opening the Editor.

  • Lock Segments — Adds lock and unlock controls to individual segments in the Editor. A locked segment cannot be modified by other users. Without this permission, the lock controls are not displayed and segments cannot be protected.

  • Add Terms to Glossary — When hovering over a term in the Editor, a tooltip appears with a "+" icon to add it as a new glossary entry. Without this permission, the "+" icon is hidden and terms cannot be added to the glossary from within the Editor.

  • Editor Update Glossary — In the Glossary panel on the right side of the Editor, each match shows an edit (pencil) icon. Without this permission, the edit icon is hidden and glossary terms cannot be updated from inside the Editor.

  • Editor Delete Glossary — In the Glossary panel, each match shows a delete (trash) icon. Without this permission, the delete icon is hidden and glossary terms cannot be removed from inside the Editor.

  • Editor Glossary Terms Search — Controls whether the Glossary panel appears in the right-side panel of the Editor (alongside TM suggestions). Without it, the Glossary panel is completely hidden, so users cannot search or consult glossary terms while translating.

  • View TM User Metadata — In the Translation Memory suggestions panel, each TM match can show who created or last modified it (username and date). With this permission, that metadata is displayed alongside the match. Without it, only the match text and score are shown, with no authorship info.

  • TM Upsert — When a user confirms a translation segment, it is automatically pushed to the associated Translation Memory so future projects can reuse it. Without this permission, confirming a segment does not update the TM, and confirmed translations are not saved for reuse.

  • Authenticated Web Preview — The Web Preview feature lets users see how a translated string looks in the live product. Some preview URLs require HTTP Basic Authentication. This permission enables loading those authenticated previews. Without it, only publicly accessible preview URLs work.

  • Update Back Translation — Each segment in the Editor can display a back translation — a machine translation of the target text back into the source language — to help reviewers verify accuracy. With this permission, the back translation field becomes manually editable and the edited value persists when the segment changes. Without it, the back translation is read-only.

  • Edit Source Segments — Makes the source segment text directly editable inside the Editor. Without it, the source column is read-only and only the target (translation) can be changed.

  • Editor Download Files — Adds a download button in the Editor header to download the original source file and the current translated file directly from inside the Editor. This is separate from Project Download Files, which provides the same action from the project's work unit list outside the Editor.

  • Add Terms to Spell Checker Exception List — In the QA panel, when a segment has a spelling error flagged, users with this permission see an option to add that word to the Spell Checker Exception List, preventing it from being flagged again in future segments. Without it, the "Add to exception list" option is not shown.

  • Glossary List — Controls whether the Glossaries and Terms tabs appear on the Glossary page, and whether the Glossaries item appears in the main navigation. Without it, the glossary list and the glossary navigation menu are hidden entirely.

  • Glossary Create — Shows the Create Glossary button on the Glossary page, the Add term option inside a glossary's concept view, and the option to add a new glossary to a project. Without it, existing glossaries can be viewed but no new glossary or term can be created.

  • Glossary Update — Shows the edit (pencil) icon on glossary terms and the Edit option in a glossary's actions dropdown. Without it, terms and glossary settings are read-only.

  • Glossary Delete — Shows the Clear and Delete options in a glossary's actions dropdown, and the delete (trash) icon on individual terms. Without it, glossaries and terms can be viewed and edited but not removed.

  • Glossary Export — Shows the Export option (and the related import button) in a glossary's actions dropdown. Without it, the glossary cannot be exported to a file.

  • Glossary Retrieve — Required to open a single glossary's detail page (e.g., by clicking its name from the glossary list or from a project's Glossary tab). Without it, glossary names appear but are not clickable links.

Troubleshooting: a user cannot add glossary terms. Follow these steps:

  1. Verify general Glossary permissions — ensure the Glossary permissions above are enabled for the user.

  2. Check Editor permissions — confirm that Add Terms to Glossary is enabled under the Editor section for users who work mainly in the Editor.

  3. Review role-specific settings — review the user's role (e.g., Vendor) to ensure it includes the necessary permissions, and grant the missing ones individually if needed.

In practice:

  • Organizational Unit Workflow Configuration — Inside an Organizational Unit's settings, there is a Workflows tab with toggle switches to configure workflow behavior (e.g., zen mode, specific workflow step settings). With this permission, the toggles are enabled. Without it, all toggles are disabled and workflow configuration is locked.

  • Organizational Unit LLM Providers — Controls access to the LLM (AI provider) settings section within the Organizational Unit. With it, the user can view and configure which AI/LLM providers are enabled for that unit. Without it, the LLM settings section is not accessible.

  • Project Manager Select (Org Unit) — In the Organizational Unit's settings, allows the user to assign a default Project Manager for that unit. This default PM is then pre-selected when creating projects under this org unit. Without it, the PM assignment field in the org unit settings is not accessible.

  • Add Translation Memory / Remove Translation Memory / Edit Translation Memory Settings — Control the TM management panel inside the Organizational Unit's settings (Translation Memories tab). With them, the user can add, remove, and configure the TMs associated with the unit. Without them, those actions are hidden.

  • Add Glossary / Remove Glossary / Edit Glossary Settings — Same pattern as above but for the Glossaries tab inside the Organizational Unit's settings.

  • Can create/update Taxes (Receivables) — Allows setting up tax rules at the Organizational Unit level that apply to Receivables (invoices). Without it, the tax configuration fields are not accessible.

  • Price List list / Price List get by id — Control whether price lists appear in account settings and whether a single price list's detail page can be opened. Without them, price list configuration is not visible to the user.

  • Price List create — Shows the Create Price List button in account settings. Without it, existing price lists can be viewed but no new one can be created.

  • Price List update / Price List update price / Price List update price factor sequence — Control editing a price list's general settings, individual prices, and the display order of price factors, respectively. Without them, the price list is read-only.

  • Price List add price / Price List remove price — Control adding or removing individual price entries (e.g., a rate for a specific language pair or service) within a price list.

  • Price List add price factor / Price List remove price factor — Control adding or removing price factors (multipliers/adjustments applied on top of base prices, such as rush fees or specialized subject matter).

  • Price List associate org unit — Controls whether the user can link a price list to an Organizational Unit, making it the active pricing for projects under that unit.

  • Price List mark as default — Shows the Mark as default action, which sets a price list as the account's fallback price list when no other is associated.

  • Price List Delete — Shows the Delete option for a price list. Without it, price lists can be edited but not permanently removed.

In practice:

  • Project Cost Calculate — In the Project's Costs tab, controls access to the cost calculation feature. With it, the user can trigger a recalculation of costs for each language pair. Without it, cost rows are visible but read-only, and no recalculation can be triggered.

  • Profitability Margin — In the task card and task overview, shows a profitability metrics section (revenue vs. cost). This permission is not inherited by any role — it must be granted individually. Without it, the profitability section is always hidden.

  • Project Get Recommendations — When creating a project or adding resources, the system can suggest workflow configurations based on the resources available (linguists, TMs, glossaries). Without this permission, no recommendations are fetched or shown.

  • Project Download Files — In the work unit list outside the Editor, controls whether the user sees options to download the original source file and the current translated file. Without it, the download options in the work unit list are not presented. Note: this is separate from Editor Download Files, which provides the same action from within the Editor.

  • Download Deliverable File — Controls access to downloading deliverable files — non-translatable files that flow through a workflow step (e.g., final assets, signed-off documents). This is separate from translatable file downloads.

  • Upload Deliverable File — Controls whether the user can upload deliverable files to a project. Appears as a dropdown action in the task/vendor task list.

  • Project Export or Import file — Shows an Import Genesis file action in the project dropdown. Used to export or import the project file in the platform-specific format for offline editing or integration workflows.

  • Project Manager Select (Project) — Controls whether the user can assign or change the Project Manager on a specific project. Without it, the PM assignment field in a project is locked. Note: there is a separate Project Manager Select (Org Unit) permission that controls PM assignment at the organizational unit level.

  • Change status from DELIVERED to DRAFT — When a project is in DELIVERED status, this permission enables the Revert to Draft action in the project actions menu. Without it, DELIVERED is effectively a terminal status and cannot be reverted.

  • Project Delete — Shows the Delete project option in the project actions dropdown. Without it, projects can be cancelled or archived but not permanently deleted.

  • Work Unit Delete — Shows a delete button on individual work unit cards within a project. Without it, work units can be managed but not permanently removed.

  • PDF Preview Files — PDF Guide files are preview-only PDF versions of source documents attached to a project to give context to linguists. The List, Create, and Delete permissions control whether the user can view, add, or remove these files. Vendors can list and create/delete PDF guide files but cannot manage other file types.

  • Media Files — Media files are non-text assets (images, videos) attached to a project for context or delivery. The List, Create, Update, Delete, and Upload permissions mirror standard file management. In practice:

  • User TMS Access — This is the master gate to the entire wxrks TMS. Without it, a non-admin user attempting to log in immediately receives an alert "You don't have permission to access TMS" and is redirected to the login page. Every user who needs to work in the platform — whether as a linguist, project manager, or client — must have this permission enabled. It is inherited by all four roles and can be individually disabled by Account-Admins for specific users.

  • User Select Org Unit in Portal — In the Translation Portal (/portal), users with this permission see a modal in the upper area of the screen to select which organizational unit they want to work under, overriding the account default. Without it, the org unit selector modal does not appear and the portal always uses the account's default organizational unit.

  • User API Token — In My Account → Security, shows a section where the user can generate and manage their personal API token for integrating with the wxrks API. Without this permission, the token generation button is disabled.

  • User Analytics Access — Controls access to the wxrks Analytics tool. Without it, the analytics section is not accessible to the user.

  • Edit Custom Fields — Controls whether the user can click the Edit button on custom fields attached to user profiles and other records. Without it, custom fields are visible but read-only.

  • User Delete — Shows a Delete option in the user actions dropdown (visible to Account-Admins managing other users). Without it, users can be deactivated or have their access removed, but cannot be permanently deleted.

  • User Can Disable Augmented Translation Actions / User Can Enable Augmented Translation Actions — Augmented Translation (AI-assisted suggestions, such as machine translation pre-fills) can be toggled on or off in the Editor. The Disable permission allows the user to turn it off for themselves; the Enable permission allows them to turn it back on. Granting the Disable permission without the Enable permission means the user can turn off Augmented Translation but cannot re-enable it without admin intervention.

  • User Update Billing — Controls access to editing billing information (e.g., billing address, invoice details) in a user's profile. This is used for account-level billing management.

  • User Update Payment — Controls access to editing payment information (e.g., bank account details, payment method) in a user's profile. Vendors typically need this to set up how they receive payables.

Troubleshooting

  • A toggle is locked and cannot be changed — the permission is inherited from the user's role, a Permission Group, an Organization, or an Organizational Unit. Account-Admins can disable only the inherited permissions listed in the overview section above; the rest stay enabled while the user has the role.

  • A user lost access after a role change — permissions inherited from the old role are removed automatically. Re-grant individual permissions on the Permissions tab if needed.

  • A user has unexpected access — check whether the user has multiple roles or belongs to a Permission Group; both add permissions on top of individual grants.

  • A user cannot add glossary terms — see the troubleshooting steps in the Glossary section above.

  • A user cannot log in and sees "You don't have permission to access TMS" — the User TMS Access permission has been disabled for that user. Re-enable the toggle on their Permissions tab.
