Configure consolidated allocation notification templates

Use this guide to configure the consolidated vendor email templates in wxrks, including the project context fields added for organization and organizational unit details.

Audience: Account admins managing vendor notification templates.
Required permissions: ACCOUNT_ADMIN.

Consolidated Allocation

A single email when multiple tasks are assigned in a short window for the same project context.

Consolidated Pending Acceptance

A single email when multiple tasks require acceptance in the same project context.

Project context fields

Placeholders for organization, organizational unit, and project manager details inside template content.

Open the notification template area

  1. Go to Settings.

  2. Open Account Settings.

  3. Select Notifications.

  4. Open the Notification Template tab.

Select a consolidated template

  1. In From, enter the sender email domain (for example, [email protected]).

  2. In Templates, choose one of these options:

  4. Consolidated Pending Acceptance

  5. Review the description text shown below the selected template.

  1. Update Email Title, Email Body, and Email Footer.

  2. Keep the core placeholders needed for consolidated notifications: - PROJECT_REFERENCE_NAME - PROJECT_NAME - PROJECT_COUNT - TASK_WORKFLOW - TASK_SOURCE_LANGUAGE - TASK_TARGET_LANGUAGE - SEE_ALL_TASKS_LINK

  3. For Consolidated Allocation, you can also use: - READY_TASK_COUNT - NOT_READY_TASK_COUNT

  4. Use these project context placeholders in both consolidated templates: - ORGANIZATION_NAME - ORGANIZATIONAL_UNIT_NAME - PROJECT_MANAGER_NAME - PROJECT_MANAGER_EMAIL

  5. Click Save.

Important behavior and edge cases

  1. Consolidation happens only when assignments are grouped in a short time interval.

  2. If only one task is assigned, wxrks sends the standard single-task notification instead of a consolidated one.

  3. Consolidated emails are grouped by project context, so separate groups can still generate separate emails.

  4. Consolidated Pending Acceptance does not use ready/not-ready counts.

Troubleshooting

Issue

What to verify

Cannot save template changes

Confirm From has a valid sender domain email.

Consolidated options are not visible

Confirm you are editing inside Notification Template (not Org Unit tab).

Organization or OU text is blank in emails

Confirm the placeholders are present in the template body and that project context is configured in your account.

Vendor receives multiple emails

Assignments may be outside the same consolidation window or in different grouping contexts.
