The Project Overview page is where you manage every aspect of a project — dates, files, tasks, costs, translation settings, and more. This article walks through each tab so you know exactly where to find and configure what you need.
💡 Who is this for? This guide is for Project Managers and Account Admins who need to manage and configure their translation projects within the wxrks platform.
1. Overview
The Overview tab contains all the relevant information related to a project:
1. Cost - The total cost of the project
2. Total Work Units - The total number of Work Units (WU — the combination of one file, one language pair, and one workflow step) in the project, and the number of unassigned tasks
3. Progress - Percentage of completion for the project, taking into consideration the progress of all WU
4. Due Date - Project Delivery date
5. More Info - Additional information regarding the project. See details below.
Click More Info to expand a panel with additional project details:
6. Organizational Unit - Display the Organizational Unit to which the project belongs
7. Project Manager - The PM name and registered email assigned to the project
8. Contact - The Project requester's name and registered email
9. Tags - Display any tags added Manually or Automatically to a project
10. Auto Task Placement- A toggle that lets vendors see tasks in their dashboard as long as they are eligible for them. This feature will save some time touching the PM attributions, seeing that they will not need to assign the vendors for each task. For more information, we have an article about How to manage user information.
1.1 Work Unit progress
From the Overview tab, you also have full visibility of the WU status and progress, shown in the Status and Progress columns of the table above.
1.2 Work Unit actions
Clicking the ⋮ menu at the end of a WU's row opens additional actions for that WU:
1. Open in Editor - Open the WU with the wxrks Editor. Alternatively, the user can open the wxrks Editor by clicking on the file name.
2. Import - Import XLIFF files into the selected WU.
3. Export - Download a Bilingual XLIFF from the WU selected.
4. Upload Media - Import a Media file into the selected WU.
5. Download File - Download the original, translated, or deliverable file from the selected WU (this replaces the older, separate "Download Original File" / "Download Translated File" options).
6. Upload Deliverable - Upload a completed deliverable file for the selected WU.
7. Delete - Delete the selected WU.
8. Extracted Terms - Extract recurring terms inside the text so it can be added to the Glossary.
9. Filter Settings - See the current configuration for tags and file parsing.
1.3 Actions/Options Bar
The Actions/Options bar will bring some actions and options:
- Import/Export
- Join in Editor
- Split file
- Upload file
- Actions
- Pre-translation progress
- Columns
- Filters
Our Help Center have a dedicated article for the Actions/Options Bar, where you can gather additional information.
2. Key Dates
This tab will display:
1. The Key dates (Creation and Due Date, each with a time) for the project;
2. Any changes to the project status will be displayed with timestamps under the "Status Changes" field. The user responsible for the action and its reason.
After the project has been created, the due date and time might be changed.
3. Communication
The Communication tab can be used to add Notes and Instructions that are relevant to the project.
1. Messages: It can be used to disseminate information among members of the project team. Can function like a chat, receiving responses. The Active Here panel on the right shows who currently has the Communication tab open.
2. Instructions: Used to add any instructions that will guide the vendors during the progress of the project. For more information about the communication in wxrks Editor, please refer to the following wxrks Editor Menu article.
3. Project Notes: Can be used to save project-related data.
4. Files
The Files tab (labeled File Workflows) shows the workflow steps assigned to each file in the project — a file can participate in one or more steps depending on its configuration. Select a workflow step on the left to see which files are in it.
From here you can also upload or assign files to a step using the Upload Files and Assign files buttons. New files can only be added while the project is in Draft or Continuous status.
5. Reference Files
The Reference Files tab can be used to upload any files that can be used as a reference by the resources working on the project.
You can also upload PDF files for preview and review (comments and markups), as well as Media Files to be used by our Video Preview tool.
The files uploaded in the Review Files will be available in the Editor. You can read more about it in the wxrks Editor Menu article.
Attach visual references to translation segments: upload a ZIP file containing PNG or JPG images to attach visual references to specific translation segments.
PDF Preview Guide Files: upload a PDF rendition of an InDesign (IDML) file to enable the visual preview in the Editor. Name the PDF exactly like the IDML file (for example, foo.idml → foo.pdf).
6. Logfiles
From the Logfiles tab, the user can View and Download (in CSV or XLSX) the Logfiles created for the project. It is also possible to change some logfile settings.
1. TM Match Over Repetition: If enabled, 100/101% segment matches will not be considered as repetitions.
2. Non-Translatable Match Over Repetition: If enabled, all Non-Translatable segments will be considered as non-translatable. No subsequent non-translatable segment will be considered as a repetition.
3. Logfiles
If you need more information about Logfiles, we have the Understanding Your Logfile article on our Help Center to guide you.
7. Tasks
From the Tasks tab, the user can assign the tasks available to the Resources that will be responsible for the completion of each task in a project. A Pay by Words/Hours toggle and a Profit Margin summary card sit above the table.
1. Actions: Alongside the Actions dropdown (export task files, open joined tasks in the editor, similar to the actions bar in the Overview tab), the toolbar also has Loc-kit, Send Work Package, Join in Editor, and Send Reminder buttons.
2. Filters: Allows users to filter tasks by certain categories, making visualization easier.
3. Tasks: Displays each task available, along with detailed information like the workflow step, source and target languages, its sequence in the workflow, and its due date and time.
Most importantly, it allows users to manually allocate vendors to each task. Users with Vendor or Account Admin roles are the only ones who can be allocated.
4. Task options: The ⋮ menu at the end of a task's row lets users:
See Details:
After clicking the button, you'll be redirected to the Task Overview. In this tab you can see general information about the task (project, org unit, status, workflow, cost) and can set a due date and time for its delivery, add instructions, and assign or clear the vendor.
In the Auto Task Placement tab, you are able to set a minimum score as a parameter for assigning vendors automatically to this task.
An Assignment Log panel shows the number of Eligible linguists, who has Viewed the task, and who has Rejected it.See Payment Details for this task:
After clicking the button, a pop-up shows the Payment Details for the vendor assigned to this specific task, including Currency, Payable Amount, Minimum Fee per Task, and rate fields for Word/Hourly/Daily/Pages Rate.
You can add individual line items (Unit, Workflow, User Rate, Amount) that roll up into a Subtotal and Total for the task.Recalculate Budget for the task;
Open the task in the editor;
Assign to Related Tasks - apply the same vendor to the related tasks of the project;
Clear Assignment - remove the currently assigned vendor from the task.
If you need to know more, please refer to the Assigning Tasks to Users article.
8. Costs
The Costs tab now starts with a Calculation Control card, where you choose how costs are worked out for the project:
Automatic - If a Price List is associated with the Organizational Unit the project belongs to, costs are calculated automatically.
The calculation is based on the number of words, the language pair, and the costs configured for that language pair in the price list. A Cost Processing Steps panel shows the live Ingestion / Logfile / Costs status while a calculation runs, and a Recalculate Costs button (plus a menu to refresh or sync status) lets you trigger it again.Manual - When there is no Price List associated with the Organizational Unit (or you switch the toggle to Manual), costs are not calculated automatically, and you enter them yourself at the language level or the project level.
The card also shows the selected Prices (price list) - you can change pricelists after the project has been created - and the Logfile linked to the cost calculation.
1. Cost Results: shows the project's total cost, when it was last calculated, and a Subtotal / Other costs / Total breakdown. Line items are read-only once the project leaves Draft status.
2. Invoice Info: if a purchase order number is required, it can be entered here.
Below the Cost Results card, two collapsible cards break the total down further:
3. Cost Breakdown - Per Language: a table of Source, Target, Words, and Value per language pair, with an Add items button to add a line manually.
4. Other costs: a table of Description, Reason, Amount, Value, and Calculated Value for extra charges such as rush fees or discounts, also with its own Add items button and a delete icon per row.
For more information, there's an article that covers everything about Project Costs.
9. Translation Settings
On this tab, it is possible to set your project's configuration, including a Sous Chef Agent selector to choose the default AI agent for this project.
For more information about Project's Translation Settings, please refer to the following Project's Translation Settings article.
10. Context
From the Context tab, the user can view, add, remove, and edit the Translation Memories configuration associated with the project, as well as the Glossaries that will be used.
The Translation Memory stores up frequently translated segments to save time and money and you can configure specific settings to your project in this tab.
The Glossaries store up frequently translated words with their translated pairs. Beyond saving time and money, the translations become more consistent among the text.
You can find more information in the All about Translation Memories article. Now, if you would like to know more about Glossaries, please refer to the All about Glossaries article instead.
The Spell Check Exception List lets you exempt specific terms from being flagged as spelling errors. This same control also exists at the Organizational Unit level — terms added there are inherited by every project in that Organizational Unit, but only if the Organizational Unit's own list is also enabled, while terms added at the project level always apply only to that project. See Managing the Spell Check Exception List for the full setup and management steps.
11. Custom Fields
In the Custom Fields tab, you are able to add customized information to your projects.
