Project Costs

This section will explain how to navigate the Cost tab in Projects.
Monitoring Cost Processing Steps

To ensure transparency in how these figures are generated, wxrks provides a status monitor for the processing steps required to finalize costs. You can track the progress through the following stages:

  1. Ingestion: Monitors the status of file ingestion within the project.

  2. Logfile: Tracks the generation and availability of the project logfile based on the ingested content.

  3. Costs: Once the Ingestion and Logfile statuses are confirmed as regular, the system will proceed to the final calculation of costs.

Troubleshooting and Updates

If you notice that costs are not reflecting recent changes or if a status appears stuck, you can use the management tools located next to the Recalculate Costs button:

  • Refresh: Updates the current view to reflect the most recent data processed by the platform.

  • Sync Status: Manually synchronizes the project status to ensure all processing steps (Ingestion and Logfile) are aligned, serving as a primary troubleshooting step if costs are not calculating as expected.

Project Costs are broken down by language pair.

In order to calculate Project Costs Bureau Works will get your project logfile and multiply it by your pricelist parameters.

So for example, if you have 1000 new words translated from English into German and your price list lists new words from English into German at $0.24 per word your translation cost for that language pair will be $240.00.

In the cost tab, different workflow steps are batched together per language. Therefore if you have a set of files in a given language that go through Translation, Review, and DTP for instance, all those costs will be grouped into that given language pair.

Here, you can also check the percentage of Total Savings due to the Translation Memory right under "Subtotal".

Depending on the project, these costs can also be applied and they can be percentages or absolute amounts.

Manual Cost Entries

In certain scenarios, you may need to adjust or input values that were not automatically captured by the system. To accommodate this, wxrks allows you to switch to a manual entry mode.

When entering manual mode, users can directly input costs into the Cost Breakdown per Language and Other Costs sections.

Adding Cost Items

When adding manual costs, you have the flexibility to choose between two types of coefficients:

  • Price List Item: This allows you to select coefficients that are already configured in your existing Price List. This ensures that the unit prices remain consistent with the commercial standards established for the client or project.

  • New Item: This option is used for creating customized coefficients on the fly. It is ideal for extraordinary costs or specific services that are not included in the standard price list, providing full flexibility to define descriptions and values manually.

Note: When using manual mode, the automation based on the logfile and standard price list will be supplemented or overridden by your direct entries. Always verify the totals before finalizing to ensure the financial accuracy of the project.
