Presenting clients with a clear, professional, branded quote builds trust before a project even starts. wxrks lets you put your own logo and company details on the report instead of the account default, add standing notes or disclaimers, and export the finished document as PDF or an editable DOCX.
💡 Who is this for? This guide is for Account Admins who need to brand and configure their Organizational Unit's quote reports, and Project Managers who need to export a project's quote report as PDF or DOCX within the wxrks platform.
Choosing which logo and company info appear
Every quote report defaults to your account's own logo and company details. If a specific Organizational Unit should show its own branding instead — useful when one account runs several client-facing business units — you can override both independently.
Go to Organizations > Organizational Units, open the unit you want to brand, and on its General tab upload a logo by clicking the small camera icon on the logo placeholder:
Uploading a logo here does not automatically put it on quote reports by itself — you still need to turn on the matching toggle below. Click More settings, near the bottom of the General tab, to reveal it alongside Show Org Unit Info on Quote Report:
Show Org Unit Logo on Quote Report: when on, this Organizational Unit's own logo appears on its quotes instead of the account's logo.
Show Org Unit Info on Quote Report: when on, this Organizational Unit's own address, contact name, email, and website appear on its quotes instead of the account's company info.
Both are off by default, and each can be turned on independently — for example, you can show the Organizational Unit's logo while still using the account's address. Remember to click Save after changing either one.
Adding quote notes
Use Quote Notes to add standing disclaimers, payment terms, or other instructions that should appear on every quote generated for an Organizational Unit — for example, a validity period or a note about taxes. Go to the same Organizational Unit's Billing tab and find the Quote Notes card:
Fill in a Title and Description and click the blue + button to add the note — it saves immediately. Existing notes appear in a list below the form, each with its own red trash-can button to remove it. Every note you add here is included on all of that Organizational Unit's quote reports going forward, so use it for standing text rather than anything specific to one project.
What's on the report
Besides your branding and notes, every quote report includes the project's file list, a cost breakdown by language pair, any other costs (like a discount, rush fee, or project management fee), and the total. These numbers come directly from the project's Costs tab — see Project Costs for how that breakdown is calculated and how to adjust it before exporting. Exporting the report as PDF or DOCX
Open the project and click the Actions menu (the stacked-lines icon in the top-right corner), then choose Download Report (PDF/DOCX):
Choose PDF or DOCX and click Proceed. Both formats carry the exact same layout, logo, cost breakdown, and notes — DOCX is only useful when you need to edit the document by hand afterward, for example to add a client-specific comment before sending it.
The file downloads immediately, named after the project and its reference number (for example, My Project - B-12345.pdf).
