Client's Portal

A client's guide to the wxrks portal: projects, organizations, and profile.

This article provides guidance on navigating the wxrks platform as a client. In simpler terms, it's designed for situations where your translation agency utilizes wxrks to oversee their localization requirements.

For clarity, we will segment this article into distinct topics:

Client Home with numbered red boxes on the side menu items Home (1), Projects (2), Organizations (3) and Basics (4), the language and color scheme controls at the bottom of the side menu (5), and the user menu at the top right (6).

1. Home

Home is the page you land on after logging in. It puts what needs you first: the projects waiting for your approval, then the ones your agency is working on and the ones already delivered, with a chart of your spend on the side.

Client Home: badge 1 marks the Open portal, Start a new project and Customize this page buttons at the top right; badge 2 marks the waiting for you, in progress and new deliveries counters; badge 3 marks the Waiting for you, In progress and Delivered tabs; badge 4 marks the Spend over time chart.

  1. The buttons at the top right:

    • Start a new project opens the project creation page (see 1.1. Start a new project).

    • Open portal opens the wxrks Translation Portal in a new tab, for quick translations that don't need a project. It shows only if your agency has set up the Portal for your account.

    • Customize this page (the sliders icon) lets you choose which sections your Home shows and where they sit.

  2. The counters under the greeting (waiting for you, in progress, and new deliveries) are links. Click one to open that tab of Your projects.

  3. Your projects has three tabs: Waiting for you, In progress, and Delivered, described below.

  4. Spend over time charts what your projects cost, month by month (see 1.5. Spend over time).

The Messages button (the speech-bubble icon at the top right of the Home, with your unread count) holds your conversations about your projects, including the messages you send to your Project Manager from the Home.

The tabs list the projects of every Organizational Unit you have access to (an Organizational Unit is how your agency groups your company's projects; see 3.2. Organizational Units), whoever their contact person is.

Where your old Home tabs went

If you used wxrks before, here's where to find what the previous Home showed:

Gone: every tab lists all the projects of your Organizational Units. Search by project or reference to find one.

Not on the old Home

The Delivered tab, to download your translated files, and the Spend over time chart.

1.1. Start a new project

Click Start a new project at the top right of the Home, or go to Projects > New Project in the side menu. Both open the New project page, where you choose Direct project or Project routing, then add your files, languages, and workflows in two steps (Files and Review). How to create a translation project in wxrks walks through the page field by field, and How to Request a Translation Directly from wxrks explains when to request a project and when the Translation Portal is enough.

Once you create the project, it needs a price. If your agency has Quote Automation (automatic quoting) set up, the price comes in within moments. If not, the project stays in Draft until a Project Manager prices it. Either way, once the project is priced it shows under Waiting for you, and nothing is translated until you approve it.

1.2. Waiting for you

Waiting for you lists the projects waiting for your approval, one card per project. Each card shows the project's reference and name, its cost, its words and files, its Organizational Unit, its languages, its workflow, its contact, and its Delivery date.

  • Details opens the project page.

  • Approve approves the project and starts the work.

When you click Approve, wxrks asks you to confirm, with the project's name and amount:

The Approve this project? dialog, which names the project and its amount and says the work starts now and cannot be undone from the Home, with a red box around its Approve button next to Cancel.

Click Approve in the dialog to start the work, or Cancel to go back without approving. The approval cannot be undone from the Home: if you approve by mistake, contact your Project Manager. The approved project moves to In progress.

If Approve is unavailable on a card, the project's cost is still being calculated, hasn't been confirmed yet, or couldn't be calculated. Point to the button to see which. You can approve the project once its price is ready.

Search by project or reference, and sort by Date, Project, or Cost.

1.3. In progress

In progress lists your approved projects while your agency works on them. Each row shows the project, its Phase (for example, In production), its Workflow with the progress of each step, its Project manager, its Delivery date, and its Cost. A dash under Cost means that project's cost hasn't been calculated yet.

In progress tab: badge 1 marks the Delivery filter set to This week; badge 2 marks the message icon next to the Project Manager's name on a project row.

  1. Use Delivery to narrow the list by due date:

    • Today: projects due today, and the ones already late.

    • This week: projects due in the next seven days, today included. The tab opens on this filter.

    • Later: projects due after that, or with no due date.

    • All: every project in progress.

  2. To write to the Project Manager about a project, click the message icon next to their name. Messages opens with a new message to them about that project. It lands in their Messages and in the project's conversation, and their reply shows in your Messages.

Click a project to open its page. Overview shows its cost, its number of work units (file + target language + workflow step), its progress, its due date, and the list of its work units with their status.

A project page on Overview, with its cost, work units, progress and due date, and a red box around the menu on the left: Overview, Key dates, Communication, Reference files, Logfiles, Costs and Custom fields.

The menu on the left of the project page opens its other sections:

  • Key dates: the project's creation and due dates, and the history of its status changes, such as its approval.

  • Communication: messages about the project, shared with its Project Manager and contact.

  • Reference files: files that help the linguists, such as reference documents, style guides, or examples.

  • Logfiles: the project's logfiles, the reports of its word counts and net rate calculations.

  • Costs: a breakdown of the project's costs.

  • Custom fields: the extra fields your agency defined for its projects. Some you can fill in; others are read-only for you.

1.4. Delivered

Delivered lists your delivered projects, so you can download their translated files. Each row shows the project, its Languages, when it was Delivered, its Deliverables (number and type of files), and its Cost. Use Period to show the projects delivered in the Last 90 days or This year.

Delivered tab: badge 1 marks the Period filter; badge 2 marks the Select all and Download buttons above the list; badge 3 marks the message icon and the Download button on a project row.

  1. Pick the period.

  2. To download several projects at once, tick them (or click Select all), then click Download, which shows how many files you selected.

  3. On a single row, Download downloads that project's translated files, and the message icon writes to its Project Manager.

A project delivered in the last 24 hours carries a New badge, and a message above the list offers Download the new files to get them all in one click. If a project's files aren't ready to download yet, wxrks tells you so; try again later or contact your Project Manager.

1.5. Spend over time

Spend over time charts the cost of the projects approved in each of the last 6 months, by the month they were approved, with the Total for the period below the chart. It counts the approved projects of your Organizational Units, including the ones delivered or invoiced since, and converts every currency to US dollars.

3. Organizations

Organizational Units list with the side menu Organizations group expanded and its Organizations and Organizational Units items highlighted in red boxes

3.1. Organizations

Organizations hold a higher position in the hierarchy compared to Organizational Units. Depending on how your agency structures its client relationships, you might be linked with one or multiple Organizations.

3.2. Organizational Units

Organizational Units act as frameworks for projects created within their scope. As a client, you have the option to establish new Organizational Units when necessary. If your company operates various departments seeking translation services, it might be beneficial to have distinct Organizational Units for each department. If you'd like guidance on setting up an Organizational Unit, we recommend checking out this article.

Furthermore, you have the option to access existing Organizational Units and review details such as project configurations (default source and target languages), access management, translation memories, and glossaries.

5. Languages and Color Scheme

In this section, you have the option to utilize the wxrks platform in eight different languages and also select your preferred color scheme: light, dark, or System, which follows your device's setting.

Languages dropdown open with the eight interface languages, with the language selector and the Light/Dark color scheme buttons highlighted in red boxes

6. Profile

Upon accessing your profile, you can edit or insert personal details such as your name, email*, cell phone, company name, Skype ID, as well as your location and address.

The Agreements tab displays the agreements you have accepted while using the wxrks platform (currently, this option is only activated to wxrks vendors).

In the Security tab, you can change your password and enable two-factor authentication (MFA). To learn how to enable your MFA, please access this article.
