How to use Messages in wxrks

Read and answer your project conversations, act on automatic alerts and choose what lands in your inbox.

Messages is your inbox in wxrks. It gathers the conversations about your projects and the automatic alerts wxrks sends you, so you can read, reply and act from one place. This article shows how to open it, read and answer conversations, act on alerts and choose what reaches your inbox.

Who is this for? Every role: Account Admin, Project Manager, Vendor and Client. Messages opens for any user who can open projects or the editor, which every one of these roles can do by default. What lands in your inbox depends on your role (see What each role sees below).

ℹ️ Note: Messages replaces the Dynamic Feed, the tab that used to open first on your Home. Your Home no longer has a feed tab: the messages and alerts it showed are now in Messages. To learn about the rest of your Home, see How to use your Home as an Account Admin or Project Manager, Vendor's Portal or Client's Portal.

Open Messages

The Messages button is the speech-bubble icon in the top bar of your Home. A red badge on it shows how many unread messages you have (9+ when there are more than nine).

Home page of a Project Manager with a red box around the Messages button, the speech-bubble icon at the top right of the top bar, whose red badge reads 9+ unread messages.

  1. On your Home, click the Messages button. The Messages window opens over the Home, with your inbox on the left.

  2. To read your inbox on a full page instead, click Open inbox at the bottom of the window. The Messages page opens with the same list and the conversation you had open.

The unread count follows the same rules as the list: a kind of message you switch off in Choose what lands here does not count.

Read your inbox

Unread messages come first, under Unread, newest at the top. Each row shows:

  • who it is from (alerts come from wxrks) and when it arrived;

  • the project reference and Organizational Unit (the part of your account the project belongs to), or the sender's email address;

  • the first lines of the latest message;

  • tags: the tone of the message (such as Neutral, Heads-up or Risk), what it is about (such as Delivery risk, or a topic wxrks's AI picked, such as Translation Feedback) and, for risk alerts, a score such as risk 60.

Messages window open over the Home: badge 1 marks the Show: Everything filter, badge 2 marks Mark all read and badge 3 marks the gear that opens Choose what lands here. Below, the Unread list shows two conversations with a vendor and three Delivery risk alerts from wxrks.

Use the bar above the list:

  1. Show: filters the list to one kind of message: Everything, Mentions, Approvals, Quality, Delivery risk or Deliveries. Only the kinds you keep switched on in Choose what lands here are offered.

  2. Mark all read marks every unread message in the current view as read. The confirmation message Marked as read. offers an Undo for a few seconds.

  3. The gear opens Choose what lands here.

Messages you have already read wait below the unread ones: click Show N read to see them under Earlier, and Hide read to fold them again. When nothing is unread, the list says You're all caught up.

Click a row to open it on the right. Opening a message marks it as read. To keep it on your to-do list, click Mark unread at the top of the open message. The pictures below show the Messages page; the window works the same way.

Reply to a conversation

A conversation is a thread of messages between people about a project: notes in the project's Communication tab, or comments left on a segment (one sentence or paragraph of a file) in the editor.

Messages page with a conversation between a Project Manager and a vendor open on the right: badge 1 marks the Mark unread button in the conversation header and badge 2 marks the Reply to box at the bottom.

  1. Open the conversation in the list. Its messages show in order, with the project above them; click the project to open its page. Opening the conversation marks it as read: click Mark unread to keep it on your to-do list.

  2. Type in the reply box at the bottom (Reply to …).

  3. Click the send button, or press Ctrl+Enter (Cmd+Enter on a Mac).

Your reply goes into the same conversation, where everyone who takes part in it sees it: the project's Communication tab, or the segment's comments in the editor. If you leave a reply unfinished, wxrks keeps the draft in your browser for that conversation. If sending fails, the message The message was not sent. appears and your text stays in the box.

Suggested replies

When AI is turned on for your account (Settings > AI > Augmented actions, Enable for this account), wxrks can draft an answer to the latest message of a conversation. It shows as Suggested reply, with three choices:

  • Send as is sends the draft unchanged.

  • Edit before sending lets you change the text, then Send.

  • Dismiss hides the suggestion.

Nothing is sent until you click one of the send buttons.

Act on an automatic alert

Automatic alerts come from wxrks, not from a person. They tell you when something needs you, for example:

Kind

What triggers it

Delivery risk

A project is past its due date, or may miss it.

Approvals

A quote waits for the client's approval, or a task waits for confirmation or was turned down.

Deliveries

A project is ready to deliver, or a task was assigned to you.

Quality

A quality check flagged a segment of a project in your scope (Account Admins and Project Managers only).

Messages page with a Delivery risk alert from wxrks open: the project with its languages and due date, the line May miss its due date. Check progress with the linguist., badge 1 marks the Suggested message to the client contact with Send, Edit before sending and Dismiss, and badge 2 marks the Automatic alert — nothing to reply to bar with the Open the project button.

Open an alert to see the project it is about (languages, due date and phase) and one line that says what to do, such as May miss its due date. Check progress with the linguist.

  1. Suggested message (Account Admins and Project Managers, when AI is turned on for the account): on a late or at-risk project, wxrks can draft a message to the person who can act on it, shown as Suggested message to name · role, with who it goes to (To) and the project (About). Click Send to name to send it, Edit before sending to change it first, or Dismiss to drop it. The message goes to that person only, as a comment on their own task, or in the project's conversation when it goes to the client contact.

  2. An alert has no reply box: the bar at the bottom reads Automatic alert — nothing to reply to. Go where it happened:. Click Open the project (or Open tasks) to go where you can deal with it.

⚠️ Warning: Send to name sends the message right away to a real person, such as your client contact. Read the draft first, and use Edit before sending when it needs a change.

Choose what lands here

Switch off the kinds of messages you don't want, and decide how serious a risk must be to reach you. Your choices are saved for your user and apply to the list and to the unread count.

Choose what lands here window: badge 2 marks the five switches Mentions, Approvals, Quality, Delivery risk and Deliveries, all on; badge 3 marks Call a project at risk when… set to 60, with 40 and 80 as the other options; badge 4 marks Save.

  1. In Messages, click the gear next to Mark all read. The Choose what lands here window opens.

  2. Switch off any kind you don't want in your inbox:

    • Mentions: someone mentions you or replies to you.

    • Approvals: quotes, tasks and projects waiting for a decision.

    • Quality: quality findings on your projects.

    • Delivery risk: projects late or about to be late.

    • Deliveries: projects ready to deliver and tasks assigned.

  3. Under Call a project at risk when…, pick 40, 60 or 80. Risk alerts with a lower score stay out of your inbox.

  4. Click Save.

Everything is switched on and the threshold is 60 until you change them.

How the risk threshold works

Every Delivery risk alert carries a score, shown as a tag such as risk 60 or risk 90: the higher the score, the more likely the project is to be late. When wxrks's AI rates the alert, the score follows its rating (high 90, medium 60, low 40); otherwise a project already past its due date scores 90 and a project that may miss it scores 60. Quality alerts that carry a score follow the same threshold.

For example, with the threshold at 60 you see both a risk 60 alert about a project that may be late and a risk 90 alert about an overdue project. Raise it to 80 and only the risk 90 alert stays: the risk 60 one leaves the list and the unread count.

ℹ️ Note: A higher threshold hides alerts; it doesn't resolve them. A project that may be late is still at risk, and it still shows in the lists of your Home. Raise the threshold only if lower-scored alerts are noise for you, and switch Delivery risk off only if someone else follows deadlines.

Saving your choices requires the Manage Own Preferences permission, which every role has by default. Without it, the window shows You don't have permission to save your own preferences. Ask an Account Admin to turn on "Manage Own Preferences" for your role. An Account Admin can turn it on in People > Users > user > Permissions.

💡 Tip: The rest of your Home has its own settings: see How to customize your Home.

Client

Your projects' conversations (their Communication tab).

Your own alerts about your projects.

Suggested replies.

Account Admins and Project Managers see the email address of everyone in a conversation. Vendors and Clients see only their own.

As a Client, you can also start a conversation from your Home: the message icon next to the Project Manager's name on a project opens Messages on that project. If the project has no conversation yet, a new message opens, with ready-made openings (Ask for the invoice, Something needs a fix, Leave feedback on quality). The message lands in the Project Manager's Messages and in the project's conversation. See Client's Portal.

Troubleshooting

  • A message I expected is missing. Check Show: (set it back to Everything) and click Show N read: an opened message moves to Earlier. Then check that its kind is switched on in Choose what lands here and, for a risk alert, that its score reaches your threshold.

  • The unread count doesn't match what I see. The count leaves out the kinds you switched off. Reload the page if you just changed your choices in another tab.

  • There is no reply box. You opened an automatic alert. Use its Open the project or Open tasks button instead.

  • I don't see suggested replies. AI must be turned on for your account (Settings > AI > Augmented actions), and a suggestion only shows for the latest message of a conversation.

  • Your choices were not saved. Try Save again. If the window says you don't have permission, ask an Account Admin to turn on Manage Own Preferences for your role.
