How to send Translation Portal files to Human Review

Files you translate in the Translation Portal come back from machine and AI translation. When a file needs a professional linguist's review before you use it, send it to Human Review: wxrks creates a review project with the files you choose, priced with the price list of your Organizational Unit.

💡 Who is this for? Clients and Account Admins who translate files in the Translation Portal and want a linguist to review them.

Before you start

  • The file must be translated in a Portal session (status Done).

  • The review is priced with the price list of the Organizational Unit you send it to. An Organizational Unit is a group inside your account, usually one per client, department or service, each with its own prices and settings.

  • Choosing a different Organizational Unit in the request requires the User Select Org Unit in Portal permission. Account Admins have it; other users get it from an Account Admin in People > Users > [User] > Permissions, in the User module.

Step 1: Select the files and open Human Review

  1. In the Portal session, select the translated files you want reviewed. Each target language of a file has its own checkbox, and Select all selects every one.

  2. Click Send to human review. The number in parentheses shows how many files you selected.

The Human Review window opens with the selected files, their target languages and the cost of each one.

Step 2: Name the project

Project name starts with an automatic name, Human Review request - <your name>. Change it to something your team will recognize later, for example the campaign or document name. The name can have up to 255 characters; leave the field empty to keep the automatic name.

Step 3: Choose the Organizational Unit (optional)

The request starts in the Organizational Unit selected in your Portal session. If your account uses a different unit for this kind of review, for example one unit per service with its own prices, change it in Org unit:

  1. Select the Organizational Unit in Org unit. A message says the files will be reprocessed with that unit's prices.

  2. Click Reprocess files. The window stays open while wxrks translates and analyzes the files again with that unit's settings, which may take a few minutes.

Human Review window after choosing another unit in Org unit (step 3): a warning says 1 file will be reprocessed with this unit's prices, and the Reprocess files button is highlighted (step 4)

When reprocessing finishes, the window shows the cost calculated with the new unit's price list, plus that unit's project minimum and purchase order rules. Your files and their target languages stay the same.

ℹ️ Note: Going back to the first unit, or to a unit you already reprocessed in this window, shows its cost again right away, without reprocessing.

If you do not have the User Select Org Unit in Portal permission, Org unit shows your current unit and cannot be changed. If reprocessing fails, the window shows the reason; try another unit or try again later.

Step 4: Review the cost and approve it

  1. If your Organizational Unit asks for a purchase order, enter it in PO#. A required PO must have at least 5 characters.

  2. Check Total Cost and click Approve Cost.

Human Review window with the PO# field (step 5), the Total Cost row and the Approve Cost button (step 6) highlighted

If the unit has a minimum fee per project and your files cost less, the total shows Minimum Fee applied with the files' own total next to it.

wxrks creates the review project in the Organizational Unit you chose, with the name you typed, and shows Sent to Human Review. Follow it in Review Orders.

Step 5: Follow the request

Open Review orders in the Portal sidebar to follow your Human Review requests. Account Admins and Project Managers also see the review project in Projects, under the Organizational Unit you chose.

Troubleshooting

  • Send to human review is disabled. Select at least one translated file first.

  • "PO is required." or "PO must be at least 5 characters." The Organizational Unit requires a purchase order. Enter it in PO# and approve again.

  • "Some files couldn't be reprocessed." Choose another unit or try again later. Your files stay in the session.
