How to set up Auto Task Placement with the guided setup

Auto Task Placement lets eligible Vendors find and claim unassigned tasks themselves from their Available Projects tab, with no Project Manager assigning each one. The guided setup turns it on and gets your vendor pool ready in five steps: it enables the feature for your Organizational Units, shows which vendors are missing something they need, lets you fix those gaps in bulk, and previews how many vendors your rules leave eligible before you save them.

Who is this for? Account Admins. Only the Account Admin role sees the Start guided setup button.

Before you start: The guided setup works on top of the same settings described in How to use the Auto Task Placement feature. Read that article if you want to know what each individual switch and filter does, or to set them one at a time instead.

Term

What it means

Eligible vendor

A user who can see and claim a task through Auto Task Placement. They must have the Vendor role, be linked to the project's Organization or Organizational Unit, support the task's language pair, have the task's workflow switched on, and pass every filter you turn on.

Gap

Something a user is missing that can keep them from being eligible, such as No rate or No Vendor role. The guided setup lists each user's gaps so you can fix them before tasks start flowing.

Pool

Every Vendor reachable at the scope you're configuring. The setup shows how many of them are eligible as eligible / pool.

Open the guided setup

  1. In the sidebar, go to Settings > Automation Settings > Auto Task Placement.

  2. On the Auto Task Placement Settings tab, click Start guided setup.

The Auto Task Placement Guided Setup window opens. A numbered stepper at the top shows where you are in the five steps: Choose scope, Users, Rules, Notifications, and Review. Use Next and Previous at the bottom of the window to move between them.

Step 1: Choose scope

Decide which Organizational Units get Auto Task Placement.

  1. Turn on Enable Auto Task Placement on new organizational units by default if every Organizational Unit you create from now on should start with the feature on. This switch saves as soon as you change it.

  2. Pick the scope:

    • Whole account selects every Organizational Unit in the account. The badge next to it shows how many already have the feature on, for example 22/30 enabled.

    • Pick organizational units lets you select specific ones in the list below.

    Choose scope step. Badge 1 marks the Enable Auto Task Placement on new organizational units by default switch. Badge 2 marks the Whole account and Pick organizational units options, with Pick organizational units selected. A red box marks one selected Organizational Unit in the list below, whose Autopilot enabled column still shows Disabled.

  3. Scroll to the bottom of the window and click Enable Auto Task Placement. wxrks turns the feature on for every selected Organizational Unit and moves you to the next step.

ℹ️ Note: The Organizational Unit setting is the default for new projects created under it. It doesn't switch on Auto Task Placement for projects that already exist. To change an existing project, use the switch in its Overview tab, as described in How to use the Auto Task Placement feature.

💡 Tip: If you only want to work on users, rules, or notifications, leave every Organizational Unit unselected and click Enable Auto Task Placement. wxrks skips the activation and continues to the next step.

Step 2: Users — fix gaps

The Users step lists the users in your account with their tags, language pairs, rate, quality score, enabled workflows, and gaps. Use it to find users who can't receive tasks yet and fix them.

Find who needs attention

  • Filter by gaps shows a count next to each gap. Click a gap to list only the users who have it. Click it again to clear the filter.

  • Role narrows the list to Client, Vendor, Project Manager, or Account Admin users.

  • Use the search, Tag, Source language, and Target language fields to narrow it further.

  • Choose how many users to show per page at the bottom of the grid: 20, 50, 100, 250, or 500.

Each gap means:

No Vendor role

The user doesn't have the Vendor role. Only Vendors receive tasks through Auto Task Placement.

Click the user's name to open their profile in a new tab. On the Permissions tab, select VENDOR under User Roles. The role is granted as soon as you select it.

No quality score

The user has never been quality-reviewed. Matters only when the Quality filter is on.

Bulk-set a starting Quality score.

⚠️ Warning: Account Admins and Project Managers are not eligible for Auto Task Placement unless they also have the Vendor role, even when everything else is configured. A user with No Vendor role never sees tasks in Available Projects and never gets "Tasks Available" emails.

Switch workflows on or off for one user

In the Workflows column, each badge is one of the account's workflows. A filled badge is switched on for that user, and an outlined badge is off. Click a badge to switch it on or off. The change saves immediately. Workflows that are already on are listed first.

Update many users at once

  1. Select the users with the checkboxes. Hold Shift to select a range.

  2. In the panel that appears above the grid, fill in only the fields you want to change.

  3. Click Update. The button stays disabled until at least one field is filled in.

How each field behaves:

  • Tags, Workflows, Organization, and Organizational Unit are added to what each user already has. Nothing is removed.

  • Source language and Target language add one language pair. Fill in both.

  • Currency and Word Rate replace each user's default word rate.

  • Quality sets a starting score only for users who don't have one yet. It doesn't overwrite a score earned from real reviews.

Step 3: Rules — preview and save your filters

The Rules step is a sandbox. Every change recalculates, live, how many vendors would be eligible. Nothing is saved until you click Save rules or Next.

  1. Pick a preset as a starting point:

    • Start simple: no Quality, Rate, or Tag filter.

    • Balanced: Quality filter on, with a minimum score of 60.

    • Strict: Quality filter on with a minimum score of 80, Rate filter on, and association required.

  2. Turn individual filters on or off to fine-tune. When a filter removes vendors, a badge next to it shows how many, for example -4 vendors.

  3. Check the result. The tile on the left shows eligible vendors out of the total pool. Eligible by language shows coverage per language pair.

  4. Click a language pair bar to see exactly who's eligible for it, and why each other vendor isn't.

  5. Click Save rules, or click Next, which saves any unsaved changes for you.

Rules step with the Balanced preset. Badge 1 marks the Start simple, Balanced and Strict presets. Badge 2 marks the filter checkboxes, with Quality filter on, Minimum quality score 60 and impact badges such as -4 vendors. Badge 3 marks the tile showing 1 / 16 eligible vendors out of the total pool. Badge 4 marks the en_us to pt_br bar under Eligible by language. Badge 5 marks the Save rules button next to the Unsaved changes indicator.

When you click a language pair bar, a pop-up lists the Eligible vendors with their quality score, rate and number of workflows on, and the Not eligible vendors with the reason each one is excluded, such as No workflow switched on or Quality score below the minimum.

The filters:

Only vendors with a quality score at or above Minimum quality score are eligible.

Rate filter

Only vendors whose rate fits the project's budget are eligible. See the example below.

Tag filter

Only vendors who share at least one tag with the project are eligible.

Require association (Preview only)

Shows the effect of requiring an Organization or Organizational Unit link.

Require at least one workflow enabled (Preview only)

Shows the effect of requiring at least one workflow switched on.

ℹ️ Note: Filters marked (Preview only) change the numbers in the sandbox but aren't saved. The same goes for the Required tags field under Tag filter: it previews a tag list, but the saved Tag filter always compares each vendor's tags with the tags of the project the task belongs to.

ℹ️ Note: Where the rules are saved depends on your scope from Step 1. With Whole account (or nothing selected), they become the account default. With specific Organizational Units, the same rules are saved to each selected Organizational Unit and override the account default there.

How the Rate filter decides (worked example)

The Rate filter compares what the vendor charges with what the client pays for the same language pair. The vendor is eligible only if their word rate, as a percentage of the client's price, is at or below the maximum percentage set on the Rate Filters Settings tab (next to Auto Task Placement Settings).

Say the project's price for English → Portuguese (Brazil) is USD 0.10 per word, and the maximum percentage is 50%:

Common misconfigurations:

  • A vendor with no rate, or a rate of 0, is never eligible while the Rate filter is on. They show the No rate gap in the Users step. Set a word rate for them, or leave the Rate filter off.

  • If the project has no price for the task's language pair, no vendor passes the Rate filter for that task.

  • Rates in different currencies are converted before they're compared, so a vendor charging in EUR can still be eligible for a USD project.

Step 4: Notifications — set up "Tasks Available" emails

The Notifications step controls which vendors get an email when new tasks they can claim appear, and when.

  1. Select the vendors with the checkboxes. The Notification setup column shows each user's current status, active days, and quiet hours.

  2. In the panel that appears below the list, keep Enable Tasks Available Email Notification on.

  3. Under Select days to be notified, choose the days.

  4. Optionally, under Choose your quiet hours, set a time range when emails are held back.

  5. Click Update.

⚠️ Warning: Vendors only receive these emails if the Organizational Unit also has Enable Email Notifications For Available Tasks turned on in its Notifications tab. The guided setup doesn't change that switch. See How to use the Auto Task Placement feature for where to find it.

Step 5: Review and finish

The Review step runs a final check of what's configured and marks each item as passing, as a warning, or as blocking:

  • Organizational units: how many have Auto Task Placement on.

  • Workflows, Language pairs, Associations, and Tags: how many vendors are still missing each one.

  • Result: how many vendors are eligible right now.

Review step. Under the eligible vendors tile, a red box marks the check list: Organizational units and Language pairs with warning icons, Workflows and Tags with blocking icons, and Associations and Result with passing icons, each with a short message. A second red box marks the Done button.

If something shows as a warning or blocking, click Previous to go back and fix it. When you're happy with the result, click Done.

After setup: check a single task

To see who can claim a specific task, open the task and go to its Auto Task Placement tab. The Assignment Log lists Eligible linguists and, under Not eligible, every vendor who can't claim it. Click View reasons next to a vendor to see them. This tab is visible to users with the User List eligible linguists permission (in the USER category of the user's Permissions tab). Troubleshooting

A user doesn't appear among eligible vendors at all

In Users, filter by No Vendor role. Only users with the Vendor role can receive tasks through Auto Task Placement.

A vendor is listed under Not eligible with "Vendor's configured rate exceeds the maximum allowed for this task, or the vendor has no word rate configured."

Their word rate is missing, zero, or above the maximum percentage. See the Rate filter example in Step 3.

Result shows 0 eligible vendors

Go back to Rules and check which filter has the biggest -N vendors badge. Then fix that gap in Users, or relax the filter.

Vendors are eligible but don't see tasks on an existing project

Turn on Auto Task Placement on the project's Overview tab. The Organizational Unit setting only applies to new projects.
