How to manage Permission Groups

Create a Permission Group to grant a shared set of permissions to multiple users at once, and manage who belongs to each group.

Permission Groups let an Account Admin bundle a specific set of permissions once, then apply that same bundle to every user added to the group - instead of granting the same permissions to each user one at a time.

What a Permission Group does

A Permission Group is a reusable bundle of permissions plus a list of members. Any permission you turn on for the group is granted to every user in it - removing a user from the group takes those granted permissions away again, but never touches the user's own individual permissions or whatever their role already grants them.

Permission Groups only ever add access. They can't be used to restrict or remove a permission a user already has from their role or from an individual grant. If you need the bigger picture on roles themselves, see All about wxrks roles.


Who can manage Permission Groups

Creating and managing Permission Groups requires a permission that every Account Admin holds by default. It isn't available to grant to other roles (like Project Manager) from a user's own Permissions tab in the current version of wxrks.

If someone outside your Account Admins needs to create or manage Permission Groups, contact wxrks Support.


Creating a Permission Group

From the sidebar, click People, then Groups. Click Create Permission Group.

Type a name for the group and click Save.

Your new Permission Group is created, with no members and no permissions granted yet - the next two sections cover adding both.


Adding and removing members

Open a group and stay on its General tab to manage its name and its members. You can rename the group at any time by editing the name field and clicking Save - nothing else about the group changes when you rename it.

To add a member, search for them by name in the Search user field, select them from the results, then click + Add User. To remove someone, click the red X next to their name - this immediately takes away any permissions they only had through this group.

Granting permissions through the group

Switch to the group's Permissions tab to choose what it actually grants. Permissions are organized into categories - Projects, Users, Translation Memory, and more - click a category to expand it and see the individual permissions inside.

Turn on any toggle to grant that permission to every current and future member of the group. A permission a member already has some other way - from their role, or an individual grant - shows as an active but locked toggle with a Cannot toggle inherited permissions tooltip: you can't turn it off from here, because it isn't this group granting it.

From a member's own Permissions tab (see How to manage user information), any permission that traces back to a group they belong to appears the same way - active and locked, with a link back to the group so you can jump straight to it.


Deleting a Permission Group

There's currently no option to delete a Permission Group once it's created. If you no longer need one, remove all of its members and turn off any permissions it grants instead - an empty group with nothing enabled has no effect on anyone.
