How to create a Price List

Step-by-step instructions for creating a Price List in wxrks: the create form's fields, per-language-pair rates, price coefficients, and linking it to an Organization or Organizational Unit.

This article walks through creating a Price List in wxrks step by step: opening the create form, filling in its fields, and configuring the record's own tabs afterward (per-language-pair rates, price coefficients, and the Organizations/Organizational Units it applies to). Open the Price List creation form

Go to Settings > Account Settings > Business. The Prices tab is active by default and lists every Price List already on the account. Click Add Prices to open the creation form.

Fill in the Price List details

The create form opens in a modal with six fields:

1. Name: the Price List's own label. You can rename it later.
2. Currency: the currency this list's rates are in.
3. Default price per word: the rate wxrks charges when a project's language pair isn't one of the specific pairs you configure below (see Prices per language pair further down).
4. Minimum Fee by: a toggle between Project and Lang pair that decides how the list's minimum fee applies — explained below.
5. Organization: the single Organization this Price List belongs to.
6. Organizational Units: one or more Organizational Units under that Organization to link the list to right away. This field only enables once an Organization is selected.

Once a Currency is chosen, an Account Default for [currency] toggle also appears — turning it on makes this list the account-wide default for any project billed in that currency that doesn't have its own Price List selected. Leave it off unless you specifically want to replace the account's current default for that currency.

How Minimum Fee by Project vs. Lang pair works

Choosing Project reveals a Default minimum fee by project field: if a project's total calculated cost comes out lower than this amount, wxrks charges the minimum fee instead. For example, if a project's calculated total is $43 and the list's minimum fee by project is $500, the project is billed $500.

Choosing Lang pair instead reveals a Default minimum fee by language pair field, and applies the minimum-fee check separately to each language pair in the project rather than to the project's total. Any pair whose calculated cost falls short of its own minimum fee is billed that minimum instead — so a multi-language project can end up with some pairs billed at their calculated rate and others billed at their minimum, added together for the project total. Once you've added language pairs to the list (see below), you can override this default with a specific minimum fee for any individual pair.

Fill in the fields and click Save. wxrks creates the Price List and opens its own page, with three tabs: Information, Associations, and Notes.


The Information tab

The Information tab repeats the fields from the create form, plus a couple of settings that only appear once the list exists, and two collapsible sections below it.

A Charge By toggle (Word / Hour) appears here for the first time — it isn't part of the create form. Switching it to Hour prompts you once for a Words per Hour equivalent and a Default price per Hour, and from then on the list prices work by the hour instead of by the word. An Active toggle and the Account Default for [currency] toggle from the create form are also here, editable at any time.

Prices per language pair

Expand Language pair to set a specific rate for one source/target combination instead of relying on the list's default price per word. Pick a Source Language and Target Language, enter a Value, and click the + button to add it. If the list's minimum fee is set to Lang pair, each row also gets its own editable Minimum Fee field, defaulting to the list's Default minimum fee by language pair until you override it — a bulk-edit option lets you update several pairs' minimum fees at once. Selecting a row shows how any Price Coefficients (below) would affect it in the Price Simulation panel next to the table.

Price Coefficient

Visible to Account Admins only, the Price Coefficient section lets you add extra cost factors on top of the base rate — a rush fee, a volume discount, and similar adjustments. Each coefficient has a Description, a Unit (word, hour, etc.), and a value that can be applied as a Percent or a Fixed Rate; enter a negative percentage (for example, -5) to apply a discount instead of a surcharge. A coefficient can also be overridden per language pair, and marking one Default applies it automatically to new items added to a project's costs. The Associations tab

The Organization and Organizational Units you picked when creating the list are a starting point, not the only way to manage its links — the Associations tab is where you review, add, or remove them at any time. Under Organizations Management, search for an Organization and click the + button to link it; under Organizational Units Management, do the same for individual Organizational Units, where you can also mark one as the account's Default Price List for that unit. A price list needs to be linked to an Organizational Unit (directly, or via its parent Organization) before a project under that unit can use it — see All about Organizational Units' Prices tab for the other side of this link.

The Notes tab

The Notes tab holds a single Memo field for anything worth keeping alongside the list itself — a Statement of Work reference, a client agreement note, or context for whoever edits this list next.

Copying and deleting a Price List

The Actions menu at the top of the Price List's page has two options: Create a copy, which duplicates the entire list (including its language-pair rates and coefficients) so you can adjust it without rebuilding it from scratch, and Delete Price List Permanently.

Deleting a Price List is irreversible. wxrks first shows you a Review impact summary of what else references the list, then requires you to type the list's exact name to confirm before the Delete Permanently button becomes available.
